8. Information for UQ staff

UQ graduation ceremonies aren't just for students. Eligible academic staff members are invited to join in as well.

Academic procession

Eligible academic staff will be invited to join the academic procession. If you're eligible, you'll receive an email invitation at the end of October.

If you would like to join the academic procession, you need to:

  1. Fill out the online registration form in the email invitation.
  2. Indicate your academic dress requirements on the form.
  3. Submit the form by 5pm on 28 November 2018 as listed in the invitation emailed to eligible staff.

You don't have to pay for your academic dress, but it must be returned after the ceremony. If not, you will be charged a replacement fee.

Once your form is submitted, you will receive a confirmation email with further details about the ceremony.

On the day of the ceremony

Your academic dress is available for collection from 2 hours before the ceremony start time. Collect your dress from the student association rooms under Morrison Hall on Gatton campus, or the academic procession registration booth in the UQ Centre foyer on St Lucia campus.

Report to the staff gathering point no later than 30 minutes before the ceremony. Go to the upper level of Morrison Hall on Gatton campus, or the UQ Centre Boardroom on St Lucia campus.

Check in with a UQ Graduations staff member when you arrive, and find your seat on the seating plan. If your name isn't on the seating plan, notify a UQ Graduations staff member.

After the ceremony, remember to return your regalia to the designated staff return point. Please note that the UQ Centre on the St Lucia campus will close following the last ceremony each day. If you attend the post ceremony celebrations in your academic dress, you will need to return your regalia to the student return point on Level 2 of the Michie Building.

Graduating staff members

You can join the academic procession and graduate from the stage if you are an eligible academic staff member invited to participate in the academic procession.

All you have to do is register as a graduate and also register for the academic procession.

Register as a graduate

Fill out the 'Conditional Graduation Application form' in mySI-net. Please don't order academic dress via your student account. Instead, order it when you register for the academic procession.

Register for the academic procession

Eligible academic staff will be emailed and invited to join the academic procession.

Complete the online registration form in the email invitation and make sure you:

  • Tick the 'I am a PhD or MPhil graduate graduating from the stage' box. Tick this box regardless of the degree you are graduating from.
  • Indicate your academic dress requirements on the form.

You don't have to pay for your academic dress, but it must be returned after the ceremony. If not, you will be charged a replacement fee.

On the day of your ceremony

Your academic dress will be available for collection 2 hours before your ceremony start time. Collect your dress from the student association rooms under Morrison Hall on Gatton campus, or the academic procession registration booth in the UQ Centre foyer on St Lucia campus.

About one hour before your ceremony start time, check in at graduand registration (see 'Graduation day guide'). You will then participate in appropriate graduand briefings 45 minutes before the start of the ceremony.

After your ceremony, ensure you return your academic dress to the designated staff return point. Please note that the UQ Centre on the St Lucia campus will close following the last ceremony each day. Staff who attend the post-ceremony celebrations in their academic dress will need to return their regalia to the student return point on Level 2 of the Michie Building.
