Conferring your award
'Conferral' happens when you receive your finalised academic record at the end of your studies.
Once your award has been conferred, you are officially able to use your award title.
Before your degree can be conferred, there are several steps you need to complete. Make sure you're aware of:
Conferral rounds
There are 4 conferral rounds per year. Depending on when you finish your studies, your award may be conferred in:
- March
- July
- September
- December.
For Higher Degree by Research (HDR) students, conferral rounds happen every month.
Your conferral round depends on when you meet your program requirements. How you recieve your documents depends on when your award is conferred and whether you choose to attend a graduation ceremony.
Graduation ceremonies happen in July and December each year. If your award is conferred outside of these times, you will be invited to the next graduation ceremony. You don't need to attend a graduation ceremony to have your degree conferred.
March conferrals
The March conferral round includes:
- students who met program requirements in Summer Semester and requested a completion letter
- Semester 2 students who missed the previous December conferral round due to deferred and supplementary assessment.
If you're included in this round:
- your award will be conferred in March
- you will be invited to attend the July graduation ceremony
- your graduation documents will be mailed to you.
July conferrals
The July conferral round includes:
- students who met program requirements in Semester 1.
If you're included in this round:
- your award will be conferred in the lead up to the July graduation ceremony
- you will be invited to attend the July graduation ceremony
- you will still recieve your graduation documents if you choose not to attend.
September conferrals
The September conferral round includes:
- Semester 1 students who missed the previous July conferral round due to deferred and supplementary assessment.
If you're included in this round:
- Your award will be conferred in the lead up to the December graduation ceremony
- You will be invited to attend the December graduation ceremony
- You will still recieve your graduation documents if you choose not to attend.
December conferrals
The December conferral round includes:
- students who met program requirements in Semester 2.
If you're included in this round:
- your award will be conferred in the lead up to the December graduation ceremony
- you will be invited to attend the December graduation ceremony
- you will still recieve your graduation documents if you choose not to attend.
HDR conferrals
Because HDR students can finish at any stage throughout the year, your awards will be conferred monthly.
If you're a HDR student:
- you will be invited to the next ceremony round after your award has been conferred.
- your graduation documents will be mailed to you.

How to have your award conferred
Whether or not you plan on going to a graduation ceremony, you need to complete some tasks in your final semester before your award can be conferred.
In your final semester, you need to:
- update your graduation semester
- update your personal details
- provide your Unique Student Identifier (USI) or USI Exemption
- (for Higher Degree by Research students only) confirm your thesis title and abstract.
1. Check your graduation semester
Your first priority in your final semester is to make sure your graduation semester is correct in mySI-net.
To check your graduation semester:
- log in to mySI-net and select the 'Graduation' tile
- Go to ‘Expected Graduation Semester’ and make sure the semester and year are correct. You will be able to edit this field in the lead-up to your next census date.
If the wrong semester is displaying, contact your faculty or school.
2. Check your personal details
To ensure you receive accurate graduation documents at your ceremony, check your personal details are correct in mySI-net. Select the 'Personal Details' tile, then:
- Go to ‘Personal Data’ and check that your name is correct. If your name isn’t correct, you can change it.
- Go to ‘Addresses’ and check that your mailing address is correct. If you don’t attend your ceremony, your graduation documents will be mailed to this address. If your address isn't correct, you can update it.
Please note: if you don't update your personal details before your conferral date and the graduation documents issued to you are incorrect, you may be charged a replacement fee if you want to have your documents reissued.

3. Provide your Unique Student Identifier (USI) or USI exemption
In addition to completing the academic requirements of your program, you are required to provide your USI or USI exemption to UQ by the due date to be eligible for conferral and receive your award.

4. Confirm your thesis title and abstract (HDR students only)
HDR students must also:
- confirm your thesis title
- provide a 100-word abstract.
To confirm your thesis title and add your abstract:
- log in to mySI-net and go to ‘Higher Degree Research’, then ‘Thesis Details’
- check your thesis title. If your title is incorrect, email thesis@gradschool.uq.edu.au
- enter your 100 words into the ‘Abstract’ field. This 100-word abstract will be printed on your Australian Higher Education Graduation Statement (AHEGS).
Attending a graduation ceremony
If you're attending a ceremony, it's important to follow instructions for your ceremony in the lead up to graduation. See information for:

Digital graduation documents
All graduates will be sent a link to My eQuals at your student email address within 1 week of conferral. This email includes instructions for how to set up your account.
All graduates will receive these digital documents:
- academic transcript
- testamur
- Australian Higher Education Graduation Statement (AHEGS).
Physical graduation documents
HDR students
HDR students receive your documents by post after your conferral.
Coursework (undergraduate and postgraduate) students
Coursework graduates receive your physical graduation documents depending on when conferral occurs.
July or December conferral rounds
If you choose to attend, coursework students receive these graduation documents at your graduation ceremony:
- testamur (degree certificate)
- academic transcript.
If you don't attend, or choose to defer attendance at a graduation ceremony, you'll receive graduation documents by post following conferral.
March or September conferral rounds
Coursework students receive the following graduation documents by post following conferral:
- testamur (degree certificate)
- academic transcript.
