If you’re graduating or taking a break from your studies (i.e., you no longer have an active enrolment), it’s important to manage your IT account before it’s deactivated. This will ensure a seamless transition from the UQ environment to your personal setup. 

Loss of access 

When you leave UQ, you’ll lose access to the following: 

  • UQ Wi-Fi 
  • software provided by UQ 
  • your home directory (H drive) connected to your student IT account 
  • your Microsoft 365 (M365) account and data (including Forms, Outlook, Teams, and OneDrive) 
  • your student mailbox (you’ll no longer be able to send emails as firsname.lastname@student.uq.edu.au).

Steps to take before you lose access 

To stay connected to UQ and retain access to important emails, files, and data, complete the following actions. 

Update your personal details 

Email forwarding 

By default, all emails sent to your student mailbox will be automatically forwarded to your personal email address recorded in my.UQ. Please note, this setting will override any email forwarding you may have manually applied to your student mailbox.    

Save important content 

Personal files and records 

If you’re using Microsoft Office services (e.g., Word, Excel, PowerPoint) on your personal computer without a valid licence, these applications will only be available in read-only mode after your account is removed. 

Once your M365 account is removed, any files you have shared will become inaccessible as the links will no longer work. 

Information that needs to remain shared with UQ 

Move any non-personal UQ files to the appropriate storage location to ensure the data remains accessible. This may involve moving files from your OneDrive to a shared site in SharePoint. 

HDR students 

Many HDR students have both a student and a staff account, each with different usernames and passwords.  

If you have been using M365 applications, as well as saving files in your H drive on both, you should review the Save important content steps above for each account and take any necessary actions.  

However, if you remain employed by UQ, you do not need to follow these steps for your staff account. Prepare to leave UQ outlines more information for HDR students to follow as you approach the end of your HDR program.
