Zoom allows other users to schedule meetings on behalf of the meeting host.

Zoom scheduling privileges allow you to:

Assign another user to schedule your meeting

To allow another user to schedule your meeting, you'll need to assign them scheduling privileges. To do this:

  1. Open the UQ Zoom web interface and log in with your UQ username and password.
  2. Select ‘Settings’ from the side menu.
  3. Select the ‘Other’ tab, then select the plus sign (+) next to ‘Assign scheduling privilege to’.
  4. Enter the default email address for the UQ Zoom user(s) who you wish to assign scheduling privileges for your account.
  5. Click ‘Assign’.

If the user is assigned successfully, their name will appear under ‘Assign Scheduling Privilege to’ within your settings. They'll need to sign out of Zoom on their desktop and sign in again before they will be able to schedule a meeting for you. 

If you receive a ‘Cannot find the user xxx@uq.edu.au in your account’ error message, it's likely that you're not using the default email address for the user. The default email address will usually be in the following format:

  • j.citizen1@uq.edu.au for staff, or
  • s4123456@student.uq.edu.au for students.

Schedule a meeting for another user

To schedule a meeting for another UQ Zoom user, the other user will need to follow the instructions above to assign you scheduling privileges.

Once the user has assigned you scheduling privileges, you'll need to:

  1. Sign out of Zoom on your desktop and then sign back in again using your UQ username and password.
  2. Follow the instructions on scheduling a Zoom meeting on your desktop, web interface or through Outlook. When you reach the 'Advanced Options' section, select 'Schedule For', then use the drop-down menu to select the user you want to schedule the meeting for.
  3. Click 'Schedule' to finalise.
